What is an electronic invoice?

An electronic invoice is a document created and transmitted in a structured digital format via a secure network such as Peppol. It replaces paper or PDF invoices and enables automated processing by accounting software.

Starting January 1, 2026, all Belgian companies subject to VAT will be required to send and receive structured electronic invoices for their B2B transactions. PDFs and paper invoices will no longer be accepted.

The obligation applies to virtually all transactions between Belgian suppliers and customers registered for VAT, with only a few exceptions provided for by law.

In Belgium, businesses must register for VAT and file periodic returns. The standard rate is 21%, and reduced rates apply to certain goods and services. Be sure to meet your filing deadlines and keep accurate records.

No. From 2026 onwards, only structured invoices sent via a network such as Peppol will be accepted. PDFs and paper copies will no longer be recognized as valid.

You can downgrade to the Free version at any time. You will keep access to your data, but some Pro features will no longer be active (e.g., multi-bank accounts, full AI assistant).

Yes. Your data remains secure. You can export all your data (clients, quotes, invoices, etc.) before leaving or downgrading. Factuo only keeps what is legally required.

Yes. A trial mode or “discovery” mode is usually available. It allows you to test the Pro features before deciding whether to continue or return to the Free version.

Even with the Free version, you can create and send invoices, use the app on smartphone and web, and manage your basic accounting. It is perfect for freelancers or small businesses.

You should upgrade to Pro if you need advanced features: multiple bank accounts, automated payment tracking, financial dashboards, advanced AI assistant, recurring invoicing, etc.

Yes. You can upgrade or downgrade whenever you want, with no long-term commitment.

The Free version includes basic support.
The Pro version offers priority or extended support (depending on Factuo’s terms).

You can export your invoices, quotes, clients, etc., directly from the Factuo interface. We recommend doing so before closing your account or switching systems.

Yes. Even in the Free version, you have a dedicated access option for your accountant.

Main limits: only 1 user, and several advanced features (multi-bank accounts, full AI assistant, advanced dashboards) are reserved for the Pro version.

These features belong to the Pro version. If you downgrade to Free, their configuration will no longer be active. It is recommended to review and save your settings before downgrading.
